Availability is not readiness. A show-ready asset is identified, tested, configured, protected and accompanied by the accessories and contingency items required for its assigned role.

The operating principle

A rental list records what exists. An inventory-readiness process establishes what can be trusted in a live production. PROVANTAGE treats preparation as part of production engineering, not as a warehouse formality.

The depth of preparation is proportional to consequence. A playback computer carrying a leadership presentation, a wireless microphone used for a keynote and a decorative light do not carry identical show risk. Their checks, redundancy and escalation paths should reflect that difference.

1. Identity and service status

  • Confirm the asset identity, assigned kit and operational status before allocation.
  • Review open faults, service observations and restrictions; isolate equipment that has not been cleared.
  • Match firmware, software, licences and saved configurations to the planned system where applicable.
  • Record substitutions so drawings, patch information and operator expectations remain aligned.

2. Functional testing

  • Test the functions that will be used in the event, not only power-on status.
  • Inspect signal inputs and outputs, controls, displays, connectors, power paths and mechanical components relevant to the assignment.
  • Test cables end to end and examine terminations, strain relief and connector condition.
  • Run systems together when interoperability, networking, processing or control is production-critical.

3. Configuration control

  • Start from an approved baseline and label event-specific files clearly.
  • Back up console files, processor configurations, show files and playback content where the workflow requires it.
  • Confirm addressing, sample rates, frame rates, resolutions and control universes before packing interconnected systems.
  • Prevent untracked last-minute configuration changes from becoming the only working version.

4. Complete kits and practical redundancy

  • Pack the power supplies, mounts, clamps, adapters, looms, remotes and interfaces needed to use the principal asset.
  • Allocate tested spares according to consequence, replacement time and likely failure modes.
  • Separate a true redundant path from a spare that still depends on the failed component.
  • Make contingency equipment accessible during operation rather than burying it in transport cases.

5. Protection, dispatch and return

  • Use appropriate cases, covers, weather protection and transport restraint.
  • Label packages so crews can identify destination, department and sequence of use.
  • Reconcile dispatch against the technical plan and loading order.
  • On return, inspect, report faults and quarantine uncertain equipment before it can be reassigned.

Readiness is completed on site

Warehouse preparation reduces uncertainty; it does not replace system commissioning. After installation, the production team still verifies power, signal flow, network health, coverage, sightlines, control, communications, content and contingency procedures in the actual venue.

A rehearsed fallback is more valuable than an unexplained spare. The operator should know what failed, what action to take and what the audience will experience during the transition.

Practical clarifications

Does tested equipment eliminate show risk?

No. Testing reduces avoidable uncertainty, but live systems also depend on venue power, installation, interconnections, configuration, content, operators and environmental conditions.

Does every item need a duplicate?

No. Redundancy should follow consequence, failure mode, changeover time and budget. Some systems need an independent fallback path; others need an accessible tested spare.

Can a client request readiness documentation?

The appropriate evidence can be agreed during planning. The level of disclosure depends on scope, confidentiality, system criticality and the records available for that production.
