Structure is a coordination discipline
A stage or truss arrangement connects creative design, venue conditions, equipment loads, performer access, audience protection and installation methods. These inputs must reach the competent people responsible for engineering and approval before fabrication or loading begins.
Drawings used for visualisation are not automatically structural designs. Equipment schedules are not load calculations. A safe workflow distinguishes creative intent, technical coordination, engineering information and installation sign-off.
1. Establish the design basis
- Venue, room or site dimensions and verified support conditions.
- Stage dimensions, elevation, access, intended occupancy and programme activity.
- Truss geometry, support method, trim heights and operational movement if any.
- Equipment, scenic, cable and distributed loads with positions and weights.
- Indoor or outdoor environment, exposure, ground conditions and applicable weather plan.
2. Assign responsibility explicitly
- Identify who provides venue structural information and approves attachment or floor-loading proposals.
- Identify the competent designer or engineer responsible for calculations where required.
- Identify the supplier responsible for each structural system and its installation.
- Name the person controlling changes after approval and the person authorised to stop work.
- Document handover, inspection and sign-off requirements before the build begins.
3. Coordinate all production departments
Audio, lighting, LED, scenic, drape, cameras, effects and cable systems compete for physical space and may contribute load. Their final information must be coordinated against the same revision of the structure.
Late additions are not merely drawing changes. They may alter load distribution, power, access, wind area, clearances, working-at-height methods or evacuation routes and therefore need formal review.
4. Plan installation and use
- Protect floors, walls, ceilings and guest areas during movement and assembly.
- Define exclusion zones, lifting sequences, work-at-height controls and communication methods.
- Provide suitable stage edges, stairs, handrails, ramps or barriers for the intended use.
- Keep fire routes, exits, sprinklers, detectors and venue systems unobstructed.
- Prevent unauthorised loading or configuration changes after handover.
5. Inspect, hand over and monitor
The required inspection depends on the system and jurisdiction. At minimum, the production plan should identify what is inspected, by whom, against which information and how exceptions are resolved before use.
Outdoor and long-duration installations may need defined monitoring, wind or weather thresholds, evacuation actions and reinspection after relevant changes or environmental events.

Not necessarily. A layout may communicate dimensions and positions without establishing structural capacity, support conditions or engineering approval.

Any change that affects load, position, wind area, cabling, access or operation should enter the agreed change-control and approval process before installation.
Who signs off temporary structures?
That depends on the system, venue, contract and applicable jurisdiction. Responsibility and the required competent or authorised person should be established before work begins.
