How Large Should an Event Screen Be?

A practical method for sizing event screens around the furthest viewer, content detail, room geometry, stage composition and available display format.

Audience count does not determine screen size. Legibility begins with what must be read, by whom, and from where.

Screen size is a legibility decision before it is a scenic decision. Start with the smallest important detail and the person furthest away who must understand it.

Then resolve aspect ratio, room width and depth, stage composition, ceiling height, display technology and whether relay screens are needed.

    Identify critical detail

    Find the smallest text, chart label, subtitle or image detail the audience genuinely needs.

  2. 02

    Plot relevant viewers

    Measure furthest distance and check off-axis seats, columns, cameras and scenic obstructions.

  3. 03

    Test legibility

    Evaluate representative content at representative distance. Simplify content if it remains too dense.

  4. 04

    Resolve buildable size

    Convert the requirement into available LED cabinets, projection surfaces, structure and stage geometry.

Worked planning example

A DEEP
BALLROOM.
SMALL DATA.

A 300-person ballroom does not automatically need a particular screen width.

If the last row is 28 metres away and the programme includes detailed financial charts, test those charts from 28 metres. The answer may be a larger main canvas, simplified slides, relay screens—or a combination. The headcount did not decide it; the information task did.

01Can screen size be calculated from audience count?+

Not reliably. Furthest viewing distance, content detail, seating orientation and sightlines are more useful inputs than headcount.

02What content should be used when checking legibility?+

Test the smallest information the audience genuinely needs: names, agenda lines, chart labels, figures or subtitles. A large logo is not a meaningful legibility test.

03Should every viewer see the main screen directly?+

That is preferable, but wide or obstructed rooms may need relay screens. Plot columns, scenic elements, cameras and seating before deciding.

04Does a larger screen always improve the event?+

No. An oversized screen can dominate the stage, exceed useful content resolution, create poor viewing angles or conflict with ceiling and rigging limits.

05When are relay screens useful?+

They help when room depth, width, columns, balconies or seating orientation prevent the main display from providing comfortable detail to relevant viewers.
