The PROVANTAGE Handbook / Production leadership
A great live production is not one team doing everything. It is several accountable teams working through one agreed plan.
Role titles change between corporate events, hotel productions, conferences, weddings and live entertainment. A title alone cannot define authority: the written scope, responsibility schedule and escalation path must do that work.
Five parties / one live outcome
OWN THE PART.
CONNECT THE
WHOLE.
Client / brand
Defines why the event exists, the audience outcome, budget authority, programme priorities and final client approvals.
- Objectives and success criteria
- Budget and approval authority
- Brand, speaker and content decisions
- Named final decision-maker
Event agency / planner
Connects the creative idea, master programme, client communication, suppliers and guest experience where an agency or planner is appointed.
- Creative and programme leadership
- Master schedule and supplier interfaces
- Client communication and approvals
- Guest-facing event coordination
Venue
Protects the property and live hospitality operation while defining access, infrastructure, working rules and approval routes.
- Access and operating windows
- Property protection and guest routes
- Power, rigging and infrastructure approvals
- Banquet, engineering and security coordination
Technical production
Translates the brief into an integrated technical environment and operates the confirmed scope from preparation through restoration.
- Survey, design and technical scope
- Department, crew and supplier integration
- Testing, rehearsal and contingency
- Live operation, strike and technical review
Specialist partners
Deliver project-specific services that require distinct expertise, authority or ownership and integrate through agreed interfaces.
- Artists, content and creative specialists
- Structural, rigging or electrical specialists
- IT, platform, broadcast or connectivity teams
- Security, medical and other event services
Inside the technical-production scope
SPECIALISTS.
ONE TECHNICAL
PLAN.
Depending on the engagement, the technical-production team may include the following functions. One person can hold more than one role on a smaller production; larger or higher-consequence events may require dedicated leads and operators.
Production and technical leadership
Own the confirmed technical scope, department plan, priorities, changes and live escalation path.
Audio
Plan microphones, playback, RF, signal flow, coverage, monitoring and live mixing.
Video, LED and playback
Own displays, presentation sources, processing, switching, playback, signal distribution and confidence monitoring.
Lighting
Translate programme, room, scenic and camera needs into fixtures, control, states, cues and live operation.
Staging and infrastructure
Coordinate platforms, masking, cable paths, physical production areas, approved structure and build dependencies.
Show control and communications
Connect the run of show, stage activity, cues, department communications and issue escalation.
Hybrid, camera and recording
Integrate remote contributors, cameras, streaming, conferencing, records and monitoring where required.
The four handovers to define
NO OWNER.
NO ASSUMPTION.
NO GAP.
- 01
Decision
Who can approve scope, budget, programme and show-day changes?
- 02
Information
Who supplies room plans, content, speaker needs, venue rules and technical inputs—and by when?
- 03
Delivery
Who builds, tests, signs off, operates and restores each part of the production?
- 04
Escalation
Who decides when a live issue crosses departments, affects the programme or requires a fallback?
A useful boundary
COORDINATION
IS NOT
UNLIMITED SCOPE.
PROVANTAGE can lead and integrate the technical-production environment where appointed to do so. That does not automatically transfer ownership of creative direction, marketing, crowd control, catering, venue authority, artist management or other specialist services.
The proposal, responsibility schedule and production plan should state what PROVANTAGE owns, what it coordinates, what another party supplies and who approves each interface.
The practical takeaway
THE ORGANOGRAM
IS NOT THE PLAN.
THE HANDOVERS ARE.
A role chart is useful only when it creates action: named decision-makers, required inputs, deadlines, authority boundaries, rehearsal ownership and a show-day escalation route.
